Job Title: Marketing and Operations Assistant

Reports to: Managing Director

Status: Full-time, exempt

Compensation: Salary commensurate with experience

DESCRIPTION:

The Marketing and Operations Assistant helps ensure that the company brand is presented consistently, campaigns are delivered to deadline, and that the Company remains visible in the market.  She/he is self-motivated and works efficiently in a fast-paced environment, prioritizing tasks and, executing projects to the highest level.  She/he possesses the ability to convey excitement about choral music and its value to the community. Working as a valued member of a close-knit, supportive team, he or she works to ensure the success of the organization’s overall ticket sales, marketing initiatives, and media outreach programs. The Houston Chamber Choir Marketing and Operations Assistant is an outgoing, quick learner who is resourceful, flexible, and enjoys working in a collaborative shared space environment.

This position works under the leadership of the Managing Director and Manager of Operations, and works collegially with the Artistic Director, Board of Directors, Publicist, Graphic Designer, Photographer and Volunteers. It is a highly visible role with excellent growth potential. 

RESPONSIBILITIES AND DUTIES INCLUDE:

  • Raising the visibility of the Company by and working with the Managing Director and Manager of Operations to create and execute a comprehensive marketing and communications plan

  • Coordinating the creation of advertising collateral and media

    • Assists with copy writing, media purchases/placement

    • Coordinates the delegation of projects to the Graphic Designer and Company Photographer

    • Captures photos and short video clips of Houston Chamber Choir activities and rehearsals throughout the year

    • Assisting with the coordination and creation of email newsletters and all website content updates

    • Creating and updating concert program books on a monthly basis, including donor recognition, paid advertisements, and the advertisement of special programs

    • Designing and implementing a robust social media plan for platforms such as Snapchat, Instagram, Facebook, LinkedIn, and YouTube

    • Assisting the Publicist and Managing Director on projects including media pitches (reviews, previews, calendar highlights, interviews, features, etc.), press releases, and calendar listings

  • Managing a google calendar with deadlines pertaining to all the above

  • Conducting data entry, analysis and market research

  • Reporting success by monitoring key metrics

  • Keeping abreast of industry trends and compelling marketing campaigns

  • Maintaining and organizing all artist biographies and headshots

  • Responding to marketing queries via phone, email and social media

  • Supporting and assisting with fundraising and other special programs including Youth Ambassadors, Luminary Society, and Director’s Circle events, and the annual Houston Chamber Choir Gala

  • Assisting the Manager of Operations with processing ticket orders, charitable contributions, and all box office activities in the office and on-site at all concerts and special events

MINIMUM EXPECTATIONS INCLUDE:

  • Experience in the performing arts and/or knowledge of and interest in choral music – preferred but not required

  • Strong written and verbal communication skills with an attention to detail and creative flair

  • A cheerful, can-do attitude

  • Proven experience working in marketing and an office environment – college degree in a related field preferred but demonstrated experience will be acceptable

  • Demonstrated success in planning, executing, and evaluating diverse marketing strategies

  • Experience with website management – Squarespace knowledge preferred but experience with other more advanced web development tools acceptable

  • An affinity for art and design with a creative portfolio demonstrating previously executed projects

  • Experience working with video and photography, including basic video and image editing with a creative portfolio demonstrating work – preferred but not required

  • Experience with CRM databases – preferred but not required

  • Highly proficient with Microsoft OS Office: Word, Excel, PowerPoint

  • Intermediate to expert level proficiency with Adobe Creative Suite – Photoshop, Illustrator, InDesign, Premiere Pro, and Acrobat DC Pro

  • Understanding of Google products such as Google Analytics, Google+, and YouTube

  • Highly proficient with Snapchat, Instagram, Facebook, LinkedIn and other social media outlets, including creation of ‘Stories’ and use of other social media tools

  • Strong administrative skills including organizational skills, maintaining a series of google calendars and excel spreadsheets, etc.

  • Strong problem-solving abilities; willingness to take initiative and to contribute in a fast-paced, team-oriented environment

  • Ability to constantly improve and optimize; must handle constructive criticism well

  • Commitment to providing outstanding customer service over the phone and in-person

  • Willingness and ability to work evenings and weekends multiple times per month between August and May

ADDITIONAL REQUIREMENTS:

  • A minimum of two (2) years of marketing and creative experience in a professional setting preferred – recent college graduates with creative portfolios encouraged to apply
